Our Terms and Conditions
These general terms and conditions for Villa Copenhagen apply to all bookings, regardless of
whether they are made through the website, app, directly via email or phone, or through third
parties. For any inquiries, please reach out to Villa Copenhagen.
1. RESERVATION AND STAY
The number of occupants, the rate, dining options, and additional products will be included in
the booking confirmation received by the guests. A valid ID/passport must be presented upon
arrival and throughout the stay. Please note that only guests registered to the reservation are
permitted in the room.
2. VALIDITY OF PRICE AGREEMENT
The agreed prices are binding on both parties; however, the hotel reserves the right to adjust
prices due to changes in costs resulting from increased taxes and fees or other conditions
beyond the hotel's control.
3. CHANGES OF CANCELLATIONS
All changes and cancellations must be submitted to the hotel in written notifications to be valid.
The applicable cancellation rules will depend on the type of booking made. Guests are advised
to always verify the rules pertinent to their booking, as displayed at the time of booking and on
the booking confirmation. The standard cancellation policy allows cancellations until 4:00 PM
(16:00) one day prior to arrival. If a reservation is cancelled after this time or in the event of a
no-show, the hotel will charge the first night's stay, inclusive of tax, to the credit card provided.
A non-refundable reservation may be cancelled free of charge within 24 hours of the booking
time. Thereafter, the hotel will charge for all booked nights, inclusive of tax, to the credit card
provided, in the event of cancellation or no-show.
3.1 Group bookings
For reservations associated with a group, specific cancellation rules agreed upon between the
hotel and the organiser will apply. Individual cancellation policies are not valid.
3.2 Contract bookings
For orders placed by customers holding a contract with Strawberry, the reservation and
cancellation rules stipulated in the contract will apply.
3.3 18-year age limit
All minors must be accompanied by an adult over 18 years of age. If the accompanying adult is
not a parent or legal guardian, written consent is required upon check-in. Please contact our
reservation team to obtain the parental consent form. The hotel reserves the right to deny
accommodation to minors without the parental form.
3.4 Booking with bonus points
The redemption of bonus points requires Strawberry membership and sufficient valid bonus
points in the member's account to cover the entire stay's point costs. Point redemption is only
possible for bookings reserved via Strawberry Customer Service and confirmed as a bonus
reservation. For cancellations within the ordinary cancellation period, the bonus points used
may be refunded, provided that the points have not expired.
4. PAYMENT
4.1 Cash payments
In the case of cash payments, the hotel will require either a cash deposit upon check-in or a
credit card guarantee. Please note that only Danish currency is accepted, and cash transactions
are limited to a maximum of DKK 8,000 per reservation.
4.2 Card payments
Strawberry accepts payments from the following credit cards: Visa, American Express,
MasterCard, Diners, and Eurocard. For orders placed via our website, we accept Visa,
American Express, MasterCard, and Diners. By approving these terms and conditions, you also
authorize the secure storage and charging of your card for future purchases. The card number
is securely stored with our payment provider, Adyen, and we will never have access to the
actual card number.
Villa Copenhagen will require an authorization deposit of DKK 500 per night upon check-in.
5. CHECK-IN AND CHECK-OUT
The guaranteed check-in time is from 15:00 pm on the date of arrival. The guaranteed
check-out time is by 12:00 am on the date of departure.
6. LIABILITY IN THE EVENT OF DAMAGE
The guest, or the guarantor for the room, is responsible for property damage resulting from
negligent or irresponsible behaviour by guests. Villa Copenhagen is not responsible for any lost,
misplaced, or stolen items. Guests are encouraged to keep their personal belongings secure at
all times. If any items are found on the premises, they will be retained in our Lost & Found
department for 30 days. After this period, unclaimed items may be disposed of at the hotel's
discretion. Guests can inquire about lost items by contacting us or by filling out the form on the
website.
Villa Copenhagen is a non-smoking hotel, including e-cigarettes. Violation of this policy will
result in a fine of DKK 4,000. This charge will be debited from the final bill.
7. FORCE MAJEURE
Events beyond the control of the parties to this agreement – for example, strikes, lockouts, fire,
pandemics, etc., which makes it impossible to fulfil the obligations of this agreement – entitle the
parties to cancel the agreement without liability for compensation.
8. JURISDICTION
All disputes that may arise between the parties to this agreement (the guest and the hotel) shall
be resolved in accordance with Danish law. If the dispute cannot be resolved, the jurisdiction
relating to the location of the hotel premises shall apply, unless consumer relations are subject
to mandatory rules.
9. AI Chatbot
Villa Copenhagen utilizes an AI chatbot to provide guests with expedient access to information
about our hotel. The chatbot collects information regarding your interactions with it, including
your questions and responses. This information is employed to enhance the chatbot's
performance and to provide a more personalized experience. You may choose not to interact
with the chatbot at any time.
